Job Description

One of the top boutique private equity firms in Chicago is seeking an Executive Assistant to join their team in a hybrid role. This position offers a salary of $70,000-$80,000 dependent on experience, plus bonus and is an excellent opportunity for a highly organized, detail-oriented professional who enjoys working with databases, managing information, and supporting senior-level professionals. The Executive Assistant will support three team members while playing an important role in maintaining accurate databases, assisting with investor relations activities, and supporting the team’s day-to-day operations. Responsibilities of the Executive Assistant:

• Maintain and update CRM and database systems, ensuring information is accurate, organized, and up to date.
• Support investor relations activities by maintaining investor records, tracking communications, and organizing relevant information.
• Provide administrative and operational support to three team members across a variety of projects and initiatives.
• Prepare and update reports, spreadsheets, presentations, and other materials using Microsoft Office.
• Conduct research and data entry to maintain accurate company, investor, and contact information.
• Coordinate meetings, calls, and other internal and external activities as needed.
• Organize and maintain confidential company, investor, and business information.
• Assist with special projects and help improve internal processes, database organization, and workflows.
• Provide general administrative support to the team as needed.

Qualifications of the Executive Assistant:

• 1–3 years of related administrative, operations, database, investor relations, or executive support experience.
• Strong CRM and database management experience is highly preferred.
• Previous experience in private equity, investment management, financial services, or investor relations is a plus.
• Exceptional attention to detail with strong organizational and follow-through skills.
• Strong Microsoft Office skills, particularly Excel and PowerPoint.
• Excellent written and verbal communication skills with a professional and personable demeanor.
• Proactive, resourceful, and able to work independently with minimal direction.
• Strong analytical and problem-solving skills with an interest in working with data and systems.
• Comfortable working in a fast-paced, collaborative, and entrepreneurial environment.
